Process management with AI, from conversation to flow diagram

You describe how the process runs, the AI writes the description and produces the flow diagram with phases and responsibilities. In QuKI the process map, process descriptions and documents belong together, approval stays with the process owner.

In short

What does ISO 9001 require for process management?

Clause 4.4 of ISO 9001:2015 requires a company to determine the processes of its QMS, with inputs and outputs, sequence and interaction, responsibilities, resources and criteria for control. A process map is not explicitly required, but it is the usual way to show sequence and interaction. Documentation is kept to the extent needed to support the operation of the processes. In QuKI the description and flow diagram are created in conversation with the AI, linked to the documents that apply.

Why process descriptions go stale in the binder

  • The process map hangs on the wall, the workflows changed long ago
  • Writing a process description takes hours, so it gets postponed
  • Who is responsible for what in the process is written down nowhere clearly
  • Process and work instruction contradict each other because they are maintained separately

How you manage processes in QuKI

Process map

The process map shows your processes at a glance and leads to the individual descriptions.

Process description with roles

Every description contains trigger, steps, roles and responsibilities. It is clear who does what and when the process starts.

Capture in conversation

Instead of filling in a blank form, you describe the workflow the way you would explain it to a new colleague.

With AI

The AI captures the process in conversation, spoken instead of typed if you prefer, and produces the description and flow diagram with phases and responsibilities. Changes are discussed in dialogue, approval stays with the process owner.

Linked to documents

Processes are linked to the documents that apply. Change one and you see immediately what follows.

From conversation to approved process

  1. 1

    Describe

Explain the workflow in conversation, typed or spoken.

  2. 2

    Get a draft

The AI produces description and flow diagram as a suggestion.

  3. 3

    Adjust

Discuss changes in dialogue until it is right.

  4. 4

    Approve

The process owner approves, the documents are linked.

What changes for you

  • Process descriptions come out of one conversation instead of a long afternoon
  • Responsibilities are recorded for every step
  • Document status and process status no longer contradict each other
  • In the audit you show map, description and documents in one go

Frequently asked questions

What belongs in a process map?

The usual split is management processes, core processes and support processes, with the customer at the start and end of the core processes. The map shows which processes exist and how they interact. The details belong in the individual process descriptions.

Is QuKI a BPMN tool like ARIS, ADONIS or Signavio?

No. Those tools are built for comprehensive process modelling, often in large organisations. QuKI is designed for quality management in SMEs, where the process description is linked to the documents and the AI proposes audit questions from your process documents. If you need full BPMN modelling, a specialised tool serves you better.

Are Visio, PowerPoint or Excel enough for the process map?

For drawing, yes. Maintenance is the hard part, because the drawing knows nothing about the documents, roles and changes behind it. In QuKI map, description and documents are connected, and a change shows what follows.
